Outsourcing Assistant guide
Give a Philippines-based assistant a usable SOP version-control routine
A topic-specific guide for a distributed team whose operating instructions change as exceptions are resolved, focused on ensuring the active checklist is the one people actually use.
Name the active instruction
A remote assistant needs one clearly identified SOP, not several files with similar names. Show owner, revision date, effective state, and the reason for each approved change.
Compare before editing
Review a proposed change against the current source and note conflicts, missing examples, and affected tasks. Preserve the prior version so the owner can understand what changed.
Test the changed step
Use one ordinary case and one exception to check whether the new instruction is executable. Route policy questions back to the owner rather than silently resolving them in the checklist.
Make handoffs durable
Link the assistant’s work queue to the active version and record when the change was acknowledged. Version control fails when the document changes but the team’s working copy does not.
